Brand consistent email signatures for all messages from midmich.edu email accounts is a simple step we can all take to be brand champions. In addition, consistent and clear email signatures are professional in appearance and enhance the effectiveness of communications originating from the College and its employees.

Email Signature Guidelines

Per College Policy, email signatures must follow the below guidelines and only contain elements (images, graphics, quotes, or logos) that Strategic Communications has authorized. Authorized elements can be found in the templates.

  • Do not add additional images, logos, and vCards. Most email clients process these items as attachments or block them. If you include these in your email signature, recipients may not see your entire signature or know when you are sending an attachment that needs their attention.

Department, Initiative, or Entity identifiers should not appear in email signatures unless authorized by Strategic Communications.

  • Less is more. The templates provided should be used as-is or in combination with formatting maintained.
  • Keep it Mid-focused. Personally chosen quotes should not be used in business communications. This keeps messages professional and avoids having others assume a particular statement represents the opinion of the College.
  • Font. Use 11-point Calibri which is a standard font available on both Mac and PCs and works in all email clients. Non-standard fonts and HTML may not appear correctly across email clients.
  • Color. Use the template above as provided.
  • Phone numbers. Include your phone number in the format provided.
  • Social media. Adding links to Mid's official social media channels is optional. Links to other social media accounts are discouraged. Remember that using links is preferred to images or logos. If you would like to feature an alternate social media account, please confirm with Strategic Communications.
  • URL format. The "www." that appears at the beginning of a URL is not needed unless the URL won't work without it. If you use the templates as provided you should be all set, as Mid's website link is included.
  • Pronouns. Accepted pronoun structures are as follows.
    • she/her/hers/herself
    • he/him/his/himself
    • they/them/theirs/themself
    • If a new accepted structure needs to be proposed, contact us via email at stratcomm@midmich.edu.

How to Create an Email Signature in Gmail

  • Click the Settings gear in your Gmail toolbar.
  • Select Settings from the menu that appears.
  • Go to General.
  • Make sure the desired account is selected under Signature.
  • Copy and Paste the signature template into the text field, and edit so it reflects your personal content.
  • Click Save Changes.

Your signature is now automatically included when you compose a message.

How to Create an Email Signature in Outlook

  • Launch Microsoft Outlook and click on New Email in the Include Group menu bar.
  • With the new, blank, email message open, click Signature from within the Message menu and select Signatures.
  • From within the Email Signature tab, click New.
  • Enter a name for the signature and click OK.
  • In the Edit Signature box, enter your Signature message (using the template provided) and click OK.

Adding a Signature to Outlook Messages

Automatically Include Signature in All Email Messages

  • Select New Email from within the Include Group menu bar.
  • Click Signature from within the Message menu and select Signatures.
  • From within the Choose Default Signatures area, select the email account that the Signature is attached to.
  • Select the appropriate Signature from the New Messages drop down.

Email Signature Templates

These templates should be used by all employees of the College. Please do not alter the template unless absolutely necessary. You can combine elements of different templates, but the format should remain consistent. Templates can be copied and pasted into the email client you use.
